Quick Start

The best way to gain a quick appreciation for the capabilities of PhotoACT is to open the sample database (PhotoACT.DBF) provided with your installation.

There should be an icon for this database in the PhotoACT Folder which, when double-clicked, will force ACT! to open this database.

Alternatively, you can select the database directly from "C:\Program Files\PhotoACT\PhotoACT.dbf"

Once the database is open, select the "Contacts" View. You should now see the PhotoACT Tab in the bottom half of the contact record. Select this Tab to see the images associated with the current contact.

Operation

The PhotoACT interface is represented as a Tab in the ACT! Contact View.

Within the PhotoACT Tab, there are three sub-Tabs: 1) Images, 2) Mail Merge, and 3)Setup

The default Images Tab displays thumbnail versions of each picture associated with the current contact.

The Mail Merge Tab controls settings used for performing mail merge operations with MS Word using the ACT! contact information and the photos associated with the contact.

The Setup Tab is used to configure PhotoACT.

As each contact is displayed, PhotoACT searches the contact's record for any images associated with it. If found, each image is displayed as a thumbnail in sequential order.

Primarily, the images displayed are representations of files attached to the Notes/History section of the contact's record.

Additionally, PhotoACT can search the contents of specific fields for references to images also. The fields looked at in this case are specified in the Mail Merge Tab. These "PhotoACT Fields" serve two purposes: 1. They act as placeholders for images in merge templates. 2. They can contain filenames of images to be displayed along with the other attached files.

For example:

If the User 1 field contained the data "C:\My Photos\apicture.jpg", PhotoACT will display the apicture.jpg file in the Images Tab

Email attachments and Faxes can now also be displayed. This is also achieved via respective entries in the Notes/History. When PhotoACT encounters an email entry, it searches the corresponding email data for any attached files. If found, they are displayed with the other images. Similarly, WinFax log entries are used to locate the source fax file and display thumbnails of each page in the fax - if this option is selected.
